The Insurance Team should be notified of any incident/loss immediately.

Depending on the nature of the incident the following people should also be advised:
The Departmental Administrator
Departmental Building Surveyor
Estates Helpdesk
Security Services
University Safety Office
Police – it is imperative that you report any theft or crime to the police at once and obtain a crime reference number. This is a policy condition.
 

As advised by the Building Surveyor, you should undertake any emergency remedial work, in order to preserve the safety and security of the affected area.

Print out and complete a Building and Contents Claim Form (DOC) and return it to the Insurance Team together with any supporting documents (Crime Reports, photographs, CCTV footage etc.).

Claim forms must be completed and returned to the Insurance Team within 28 days of the incident for the claim to be considered. You do not need to wait for receipt of quotes to do this.
 

Estimates for repairs are required as follows:
Estimated costs up to £1,000: 1 estimate
Estimated costs between £1,000 - £10,000: 2 estimates
Estimated costs between £10,000 - £20,000: 3 estimates

For claims of more than £20,000 a Loss Adjuster (independent claims inspector) may need to be be appointed - please contact the Insurance Team for this to be arranged.

Copies of estimates for the repairs/replacements should be forwarded to the Insurance Team when received. The Insurance Team and Loss Adjuster (if appointed) must approve estimates before work/replacement can proceed.

Throughout the required repair/replacements the department should liaise with the Insurance Team and Building Surveyor as necessary.
 

Please note that for building claims, claims are made on a reinstatement basis (i.e. there is no allowance for betterment).

Departments must pay the relevant invoices which should then be forwarded to the Insurance Team. It is important that the specific departmental coding details are provided, to enable the Insurance Team to journal the reimbursement to the correct account code.

Reimbursement will be made net of the standard £2,000 excess.
